Overview

This position is responsible for handling all logistical aspects of the Guest (including Phone Operators) & Volunteer Services Department. The employee will communicate and interact with patients, families, staff, volunteers, and visitors to ensure they have a positive experience at UofL Health.  This role will have direct oversite for both downtown campuses.

Responsibilities

  • Maintains extensive positive contact with patients, families, staff, volunteers, visitors and physicians and interacts with them in a way that is courteous, helpful and pleasant
  • Handles all logistical aspects of the Volunteer Services Department. This includes orienting new volunteers to the organization; placing volunteers in departments; working with department leaders to ensure that volunteers are a good fit; managing volunteer schedules and handling volunteer issues
  • Coordinates and schedules all meetings, conferences, appointments and use of facilities for the Volunteer Services Department in a timely manner
  • Keeps track of supplies for office and places orders for them in a timely manner
  • Participates in identifying and resolving operational, service, and quality problems, which enhance the service to internal and external customers and keeps supervisor informed of potential or actual concerns
  • Develops and meets the needs of University of Louisville Physicians group and the Novak Center as defined by its senior leadership
  • Placing volunteers in departments by working with department leaders and ensure that volunteers are a good fit. Manages their schedules and handles any issues
  • Responsible for actively recruiting volunteers through community events during the year; should take an initiative in looking for recruitment opportunities
  • Handles working with the various schools and their volunteer work programs
  • Maintains compliance with all company policies, procedures and standards of conduct
  • Complies with HIPAA privacy and security requirements to maintain confidentiality at all times
  • Performs other duties as assigned

Qualifications

Education:

  • High School Diploma or GED/Equivalent (required)
  • Bachelor’s Degree (preferred)

Experience:

  • At least three (3) years of healthcare experience (required)
  • Participated as a volunteer for at least two years for a sizeable organization (preferred)

Previous Experience leading and managing a volunteer services program (preferred)
