Overview

Ensures that Medical Staff Services functions effectively and efficiently in meeting physician needs; ensures that credentialing applications for all medical staff and allied health professional staff are complete and in accordance with hospital bylaws while adhering to Joint Commission standards and state regulations. Maintains confidentiality of all subjects read, heard, or typed and continually looks for opportunities to expand services provided. Meticulous attention to detail and excellent verbal and written communication, organizational, and interpersonal skills are required.

Responsibilities

1. Performs various duties as requested by the chief of staff.
2. Greets and screens visitors in a courteous and professional manner
3. Answers phone calls using discretion and tact.
4. Updates and maintains systems (physician privileges, medical staff roster, Medical Staff Bylaws, etc.)
5. Prepares and distributes agendas and background materials for meetings, makes logistical arrangements, takes minutes, and follows up with action if needed.
6. Opens mail and routes appropriately, responding to routine inquiries.
7. Establishes application, data bank, and profile files and other files and records as necessary and ensures that they are kept current.
8. Ensures that initial applications and reappointment applications to the medical staff and allied health professional staff are processed and completed in a timely way to facilitate decision making by service chiefs, the Credentials Committee, the Medical Executive Committee, and the Board of Directors.
9. Provides temporary medical staff privileges as requested, adhering to hospital bylaws.
10. Ensures that all DEAs, malpractice insurance, and Kentucky licenses are current for all medical staff and allied health professionals as required by the hospital bylaws and Joint Commission standards.
11. Forwards information from the Medical Executive Committee to the Board of Directors accurately and in a timely way.
12. Ensures that MedStaff computer data base systems are accurate and current.
13. Prepares and distributes medical staff and allied health professional staff labels, lists, and information as necessary.
14. Authorizes and coordinates provision of medical staff and allied health staff parking according to hospital criteria.
15. Ensures that all medical staff and allied health staff maintain current TB vaccinations.

16. Procures medical staff dues, deposits monies in medical staff account, reconciles account statement, writes checks as requested by the chief of staff, and provides financial report to the chief of staff periodically.
17. Sets up T accounts in the SMS data base system for grant and research billing.
18. Monitors and ensures compliance with Joint Commission standards relating to medical staff functions and notifies appropriate individuals of changes.
19. Collaborates with the manager of the executive offices and the chief of staff in development of department budget and long range plans, goals, and objectives.
20. Facilitates communication between the medical staff and internal and external customers.
21. Assists medical staff committees in performing their duties and fulfilling their responsibilities as identified in the medical staff bylaws, rules, and regulations and policies and procedures.
22. Attends continuing education programs related to changes in medical staff standards and functions.
23. Establishes policies and procedures pertaining to medical staff services and keeps current.
24. Assists the University house staff office in orienting new residents, procures physician numbers, and adds the new residents into the SMS data base system for billing and medical records purposes.
25. Provides Ethics Committee on call list to hospital switchboard operators.
26. Ensures that adequate supplies are on hand, adhering to department budget.
27. Copies and Faxes as needed.
28. Performs other duties as assigned

Qualifications

Education / Accreditation / Licensure (required & preferred):
• High School diploma required. Associate or bachelor’s degree in business or related field preferred.
• CPMSN and CPCS credential is required or must be eligible to sit for exam within (3) years from date of hire.

 

Experience (required and preferred):

• Five years of experience in a medical staff office setting preferred. Previous supervisory experience preferred.
