Job Summary

The HIM Operations Supervisor works in overseeing the daily functions of the Health Information Management Department. This position is responsible for the supervision, organization, and coordination of the daily operations and staffing needs of the Department to include Release of Information, Transcription, Chart Prep, Scanning, Indexing, Analysis, Chart Completion and Chart Audits to ensure compliance in State and Federal Regulatory requirements. Interacts as needed with internal customers to include but not limited to hospital staff, physicians and their offices, and other revenue cycle team members. Actively participates in department and hospital performance initiatives and leadership activities when needed to ensure UofL Health success.

Responsibilities

Provides oversight, guidance, and workflow of Health Information Management Operations staff.

• Accepts responsibility and accountability for operations of assigned functional areas in the Director’s absence

• Identifies and implements changes regarding policy, productivity, and quality measures, and assures that staff performance improvements related to work-flow efficiencies and operations.

• Coordinates staffing issues and procedural issues with HIM Director.

• Complies with hospital and departmental dress code. Wears name badge with job title and credentials clearly visible.

• Assist Director with evaluating staff performance on an annual basis. Accurately measures and evaluates staff performance, productivity, and quality measures, and assures that staff is following and meeting departmental goals and metrics.

• Trains, provides feedback, evaluates and provides corrective action to staff as needed in coordination with the HIM Director.

• Responds to inquiries of staff, patients, physicians and both internal and external customers for the purpose of providing information and/or direction or discussing and resolving any issues and/or problems.

• Arranges coverage for call ins or stands in to cover the schedule for call-ins on a daily basis.
• Identify training development needs and plan and supervise appropriate training, education, in-services, and department orientation to new and existing employees to facilitate functional job competency.

• Work in coordination with HIM Director to establish productivity standards, provide concurrent feedback on job performance, and routinely conduct quantitative and qualitative analysis of staff to monitor for compliance and ensure adherence to established workflow processes.

• Maintains a working knowledgeable of CMS and Joint Commission regulatory standards, federal and State Regulations HIPAA/HITECH statutes, CFR 42, Office of Civil Rights Patient Right to Access and facility and department policies regarding the storage, privacy, security, confidentiality, and release of patient protected health information (PHI).

• Plan and facilitate employee engagement initiatives and maintain high employee morale.
• Assists with educating providers including Attendings and Resident physicians and nurse practitioners as needed to ensure improvement of and compliance with documentation standards.

• Provides input on department goals and objectives, and HIM performance improvement plan as well as assists with maintaining overall compliance.
• Effectively monitor documentation compliance with Joint Commission Record of Care Standards regarding the completeness, accuracy, legibility, etc., of patient medical records.

• Model all Core Behavior standards, including routinely rounding on staff.

• Interacts as a team member representing HIM and attend meetings as directed. • Ensures staff maintain a positive customer service attitude.

• Prepare, Oversees, and approves work schedules.

• Completes annual competency evaluations timely.

• Verification and reconciliation of timecards.

• Perform other duties and projects as assigned.

Qualifications

MINIMUM EDUCATION & EXPERIENCE

• High School education or GED required.

• Must have a minimum of a associate degree in HIT and maintain either an AHIMA RHIA or RHIT credential. Credential must be obtained in the first year of hire or before.

• A minimum of 2 years prior HIM leadership experience preferred.

• At least 2 years in an acute care facility directly related to HIM.

• 1-year experience in hospital-based electronic medical record.
Cerner PowerChart experience preferred.
