Overview

The Centralized Scheduler schedules patients for outpatient diagnostic testing and procedures within University of Louisville Healthcare.  Displays a positive image of UofL HealthCare by demonstrating courteous and professional behavior toward patients, physicians, physician office staff, visitors, volunteers, and other employees. Obtain and verify patient demographics and insurance coverage information.  Checks diagnoses for Medicare compliance.  The individual instructs patients regarding pre-procedure clinical preparations. Files and answers phone calls, sends and receives fax transmittals.  Assures that the clinical department leadership is informed of requests for test results by coordinating tasks with the Office Clerk.  Meet with colleagues from other departments as needed.  May be asked to perform other duties as instructed by manager and/or supervisor.

Responsibilities

  • Maintain a professional image. Observes “On-Stage” behaviors, “Off-Stage” behaviors (personal conversations, use of telephone, eating, etc.) are kept off-stage.

 

  • Able to utilize appropriate computer systems to perform ICD-10 code look up.
  • Accurately schedules patient appointments and completes scheduling process in a timely manner.
  • Documents special instructions and information relative to insurance, compliance checker, etc.
  • Supports goals of department/organization. Works as a team player by enhancing team effectiveness, supporting and assisting team members, the department and/or the organization.
  • Assumes responsibility for following compliance guidelines with federal, state and local regulations within the department.
  • Demonstrates the ability to understand instructions and underlying principles. Ability to reason and make sound judgments.
  • Take responsibility for maintaining accountability for improving job knowledge and skills.
  • Knows procedures, times preparations, locations, physicians performing specific procedure and any special instructions associated with any procedure
  • Answers the phone within 3 rings, stating name, department, and/or job title, and asking, “How may I Help You?”
  • When the appointment has been scheduled, for verification purposes, repeat the following information back to the customer: name of procedure that was scheduled, date and time of appointment, and the time that the patient should arrive at the hospital.
  • Demonstrates essential customer service skills.
  • Understands conflict scheduling, and takes steps to avoid scheduling errors and reschedules errors that occur.
  • Organizes the work area for efficient and maximum productivity.
  • Transmits all patient documents accurately and in a timely manner.
  • Performs other duties as assigned.

Qualifications

  • High School Diploma or equivalent required
  • Medical terminology is required
  • PC literacy, must be able to type 30 wpm with a 95% accuracy
  • Excellent organizational, oral & written communication skills required
  • At least one year of hospital or clinical scheduling experience preferred
