Overview

Manage and supervise the staff at the Front Desk, Scheduling Area and/or Medical Assistants Station.  Coordinate referral registration, application process and patient processing.  Work with all providers regarding scheduling issues and/or conflicts. 

Responsibilities

  • Manage all front desk and nurse’s station staff and activities including referral registration, application process, patient processing, medical work up and childcare.
  • Supervise Front Desk Receptionist and Scheduling staff (may oversee Medical Assistants, if applicable).
  • Develop onboarding training plans for new team members.
  • Manage scheduling department for scheduling of interdisciplinary developmental evaluations.
  • Work with department administration and clinical staff to insure that clinical schedules are maximized for cost productivity, while maintaining quality services to patients.
  • Block clinical schedules in Centricity Business records, and family availability.
  • Liaison with agencies external to the department for scheduling functions
  • Communicates with third party billing agent when issues with authorization require changes to schedules.
  • Other duties as assigned.             

Qualifications

  • Requires at least a high school diploma or GED
  • Five (5) years’ experience in a medical setting, or two-year associates’ degree and at least three (3) years’ experience in a medical office setting.
  • Three (3) years’ supervisory experience, preferred
  • Certified in Basic Life Support, preferred

KNOWLEDGE, SKILLS, & ABILITIES

  • Must possess excellent communication skills, both verbal and written. 
  • Must be able to multi-task and be organized and detail oriented. 
  • Ability to use electronic medical records for patients and ensure confidentiality of all patient information
  • Must possess effective listening skills, critical thinking skills, decisive judgment and the ability to work with minimal supervision in a fast paced environment.  
  • Must be motivated, dependable, and professional team player.

WORKING CONDITIONS

  • Normal medical office environment.
